WhatsApp sales templates that actually convert (with examples)
Having WhatsApp Business isn't the same as knowing what to write. These proven templates increase responses, move the sales process forward, and sound natural — not like a robot.
The difference between a WhatsApp message that converts and one that gets ignored isn't the channel. It's the text.
I've reviewed thousands of WhatsApp sales conversations. These are the patterns that work.
The most important principle: the message isn't about you
The most common mistake in WhatsApp sales messages: talking too much about the business and too little about the prospect's problem.
"Hi, I'm from Company X and we offer the best services in the market with over 10 years of experience..."
Nobody reads it to the end. Nobody.
The first message should address the problem the prospect already has — not how great we are.
Template 1: First contact after they fill out a form
Hi [Name] 👋
I saw you were interested in [service/offer]. At [Company] we've helped businesses like yours achieve [specific result].
What's your biggest challenge right now with [business area]?
Why it works: asks a direct question that invites conversation. It doesn't ask for the sale. It asks for information. And it references the specific result that matters to the prospect.
Template 2: Follow-up if they didn't respond (day 2)
Hi [Name], I sent you a message yesterday about [topic].
I understand you're busy. I just want to make sure you have this information when you need it:
[Key benefit + link or resource]
Do you have 10 minutes this week to chat?
Why it works: acknowledges they didn't respond without making the prospect feel bad. Adds value before asking for time. The closing question is specific (10 minutes) rather than open-ended.
Template 3: Follow-up if they opened but didn't respond (day 4)
[Name], I noticed you reviewed the information I shared 👀
Is there something specific that raised a question?
Sometimes it's easier to talk it through directly. Can I call you tomorrow at [time] or on [day] at [time]?
Why it works: uses real data (they saw the message). Frames the possibility of a question, reducing friction to respond. Offers two concrete call options.
Template 4: Cold lead reactivation (30+ days without response)
Hi [Name], we spoke a while back about [service].
I know the timing may not have been right then. This week we got an interesting result with a client similar to you: [concrete result without revealing client data].
Is this still relevant to your business?
Why it works: doesn't apologize for reaching out after a long time. Brings new value (a recent result). The final question is easy to answer with yes or no.
Template 5: Closing message or proposal
[Name], based on what we discussed, I put together a specific proposal for [company/situation].
Here's a summary of what I'm proposing:
✅ [Point 1]
✅ [Point 2]
✅ [Point 3]
Investment: [price or range]
Do you have time to review it together on [day] at [time]?
Why it works: visually summarizes with bullets. Calls the price an "investment" (positive framing). Proposes reviewing together rather than just sending and waiting.
Words that lower conversion (and why)
There are phrases that increase prospect resistance without us noticing:
- "Did you get a chance to review my proposal?" → sounds like a complaint
- "Just following up" → adds no value, just reminds them there's an obligation
- "Do you have any questions?" → natural response is no, closes the conversation
- "I'm here for anything you need" → no call to action, no next step
Replace these with questions that open the conversation or concrete next-step proposals.
How to automate these templates without sounding robotic
The trick is to personalize the variables before sending, not after. If the automation loads the name, service of interest, and specific result before firing the message, the prospect receives it with their context — not as a mass message.
WhatsApp Business API platforms allow this with dynamic variables that pull data from the CRM or capture form.
The message sounds human because it has the right prospect data. The automation only handles sending it at the right moment.
